Projects
Each job you do for a client, with what surrounds it: tasks, notes, hours, budget and the invoices and expenses that belong to it. It's there to tell you whether a project is paying off.
The board#
Four columns, left to right:
| Column | For |
|---|---|
| Active | Work in progress. |
| Paused | Already started, on hold. |
| Completed | Delivered. |
| Quoted | Quote sent; the client hasn't confirmed yet. |
A project changes state by dragging its card to another column. Within a column it's reordered by dragging too. On the phone, press and hold the card for a moment and move it.
Above the board, three figures for the year: Confirmed (collected on confirmed projects), Pending (invoiced and still unpaid on confirmed work) and the total of both. Quoted work doesn't count until it's confirmed.
Right-click on a card: open, duplicate (creates “Name (copy)” with the same client, budget, emoji and colour, without the tasks) or delete, with Undo.
A project's page#
When you open a project, everything is edited in place: click the name, a date or the budget, type, and Enter saves (Esc discards). “Saved” appears at the top right each time.
Identity#
- Emoji and colour: to tell it apart at a glance on the board and in lists.
- Client: the same picker as on invoices (search or create on the spot).
- Start and end dates.
Budget and rate#
The budget is written in whichever currency you like (those in Settings → Currencies) and converted to euros. The project's hourly rate defaults to the global one from Settings → Tax — shown as “global” — and you can set one of its own for this job.
Tasks#
A simple list: type in “+ Add task…” and Enter. Each task can be ticked done, edited by clicking it and reordered by dragging. The dot on the left is its priority (low, medium, high): each click moves to the next. At the top, the count “3/8 done”.
Notes#
A free-text block for what doesn't fit in a task: agreements, links, what the client said. It saves itself.
Hours#
Log hours as you go: a number and an optional note. With the rate, the block tells you how many hours “fit” in the budget and how you're doing: “On track”, “At the limit” or “N h over”. And at the end, the figure that matters: the real €/h — what was billed divided by the hours spent — against your rate, with the verdict: profitable or not.
Without an hourly rate, neither global nor per project, there's no profitability to compute; the block sends you to Settings → Tax to set one.
Linked invoices and expenses#
“+ Link invoice” opens the list of the year's invoices without a project, filterable by quarter; “+ Link expense”, the expenses list, filterable by type. Linking is just pointing: the invoice or expense stays where it was, and here it adds up. With that the project shows what was billed, the expenses and the margin (profitable or at a loss). You can also link from the invoice or expense form itself, in the “Project” field. “Unlink” undoes the relation without deleting anything.
